Service Agreement

This agreement outlines the policies and expectations for students and parents participating in lessons at the studio. By registering for lessons, you acknowledge that you have read and agreed to the policies outlined below.

Studio Expectations

Students are expected to arrive on time for their scheduled lessons. Lessons will begin and end at the scheduled time, and instructors are not able to extend lesson times if a student arrives late.

If students arrive early, they must wait quietly in the designated waiting area to avoid disrupting lessons already in progress. Parents or guardians may wait in their vehicles, use the waiting area, or briefly step out during the lesson. Please do not drop students off students more than 5 minutes early. The waiting area is not supervised, and staff may not always be available to monitor children before their scheduled lesson time. Students who are unable to sit quietly and safely in the waiting area should wait with a parent or guardian until their lesson begins.

For safety and security purposes, the studio premises are equipped with video surveillance.

Students are expected to treat instructors, fellow students, and studio equipment with respect. This includes maintaining appropriate noise levels, handling instruments responsibly, and following instructor guidance during lessons.

Lesson Participation

Lessons are intended for the registered student only. Parents, siblings, or other guests are not permitted to observe or participate in lessons. Private lessons are designed for one student only, and siblings or additional students may not join a private lesson. If two students wish to learn together, a semi-private lesson must be arranged and will be subject to the appropriate rate.

In certain situations involving very young students, a parent or guardian may be permitted to remain nearby during the lesson to help the student transition into the lesson environment. This arrangement must be discussed with the instructor in advance and is intended to be temporary.

Student Pick-Up

Parents or guardians are expected to pick up students promptly at the end of their scheduled lesson time. The studio cannot provide supervision for students outside of their scheduled lesson time.

If a parent or guardian is running late, please notify the studio as soon as possible.

Communication

Email is the studio’s primary method of communication. Important updates, payment reminders, schedule changes, and studio closure notices will be sent by email.

Parents and students are strongly encouraged to add messages@studiovanessa.ca to their safe sender or contact list to ensure important messages are not missed.

Important announcements may also be shared on the studio’s Facebook page:
https://www.facebook.com/StudioVanessaMusicLessonCentre/

It is the responsibility of the parent or student to ensure the studio has a current and valid email address on file and to stay informed of studio communications.

Lesson Attendance & Cancellations

Regular attendance is important for student progress.

Lessons missed by a student for any reason cannot be rescheduled or refunded.

The studio reserves the right to cancel or reschedule lessons due to instructor illness, inclement weather, or other unforeseen circumstances. If the studio cancels a lesson, one additional lesson will be added to the student’s billing cycle so the student receives the full number of lessons they have paid for.

Weather Policy

Lessons will normally continue during typical winter weather conditions. Only extreme weather conditions may result in studio closure.

If the studio closes due to severe weather, students will be notified and one additional lesson will be added to the student’s billing cycle.

If the studio remains open and a student is unable to attend due to weather or road conditions, the lesson will be considered a missed lesson and cannot be rescheduled or refunded.

Payments

All payments are non-refundable.

Payments may be made via Interac e-Transfer, credit card, or cash.

Private & Semi-Private Lessons

  • A minimum of four (4) lessons must be prepaid prior to the first lesson.
  • After the initial payment, payment is due every four lessons unless the student chooses to discontinue lessons. Additional lessons may be prepaid in advance if desired.
  • Private and semi-private lesson times are reserved for students on an ongoing basis. When a student registers for lessons, the instructor schedules that lesson time for the student each week.
  • If a student is unable to attend lessons for a short period of time (for example due to travel, vacation, or other commitments), regular payments are still required in order to hold the lesson time.
  • If payments are paused or discontinued, the studio may release the lesson time and make it available to other students. If the student wishes to return later, their previous lesson time may no longer be available.
  • If you decide to discontinue lessons, please notify the studio before your final prepaid lesson to avoid being charged for the next lesson cycle.

Group Lessons

Full payment for the entire group lesson program must be made before the first scheduled class.

Music Materials

Students and parents are encouraged to speak with their instructor before purchasing books or instruments to ensure the correct materials are selected.

While students are encouraged to obtain their own instruments and materials for practice at home, the studio may provide certain instruments and resources for use during lessons.

Printed Materials

A $1.00 fee will apply for printed materials such as lyrics, worksheets, or other learning resources provided by the instructor.

Registration

Registration is considered incomplete until payment has been received. Lesson spots cannot be guaranteed until payment is confirmed.

Holidays

Lessons will not take place on the following holidays:

  • New Year’s Day
  • Family Day
  • Good Friday
  • Victoria Day
  • Canada Day
  • New Brunswick Day
  • Labour Day
  • Thanksgiving
  • Remembrance Day
  • Christmas Day

If a holiday falls on a student’s regularly scheduled lesson day, one additional lesson will be added to the student’s billing cycle.

Studio Breaks

The studio will close for a winter break during the Christmas season. Specific dates for the winter break will be announced closer to the time.

The studio will also observe a summer break during the months of July and August, during which regular weekly lessons will not take place.

During July and August, the studio will offer summer camps and/or special programs. Participation in these programs is optional and separate from regular lesson enrolment.

Students will not be charged for regular lessons during these scheduled studio breaks.

Liability

While every effort is made to maintain a safe learning environment, participation in music lessons involves the use of instruments and studio equipment.

The studio is not responsible for injuries that may occur while students are participating in lessons or while on the studio premises.

Students are expected to handle instruments and studio equipment with care. Damage caused by misuse or negligence may be the responsibility of the student or parent.

Personal Property

The studio is not responsible for lost, stolen, or damaged personal belongings brought onto the premises.

Policy Agreement

By registering for lessons, students and parents acknowledge that they have read, understood, and agreed to the policies outlined in this agreement.
